1. Scope

This policy explains how Kalytera handles personal information through this website, website accounts, downloads, licensing, support, contact forms, and Kalytera-hosted services. It does not describe how a customer independently handles video or other personal information in its own deployment.

2. Product boundaries

2.1 Kalytera VMS

Kalytera VMS is installed on infrastructure controlled by the customer. Its camera credentials, configurations, live video, and recordings remain in that environment unless the customer chooses to connect another service or sends information to us for support. Operating the self-hosted VMS does not, by itself, give us access to that video.

2.2 Kalytera Cloud

Kalytera Cloud is a separate hosted service. When a customer enables it, the service processes the account, tenant, camera, event, video, recording, and operational data needed for the selected features. Storage locations, retention settings, quotas, and other service-specific terms are determined by the configured service and the applicable order or agreement.

3. Information we collect

3.1 Accounts and profiles

We collect the email address and optional company information submitted during registration. If you add profile details, we also collect the information you provide, such as a phone number. Passwords are stored as password hashes rather than readable passwords.

3.2 Forms, support, and communications

Contact, pricing, services, and support forms may collect your name, email address, company, phone number, request category, subject, deployment details, and message. We also record the submitting IP address to operate and protect these forms. If you send logs, images, recordings, or other material for support, we process what you choose to provide.

3.3 Licensing, downloads, and technical records

Licensing functions may process a hardware fingerprint, machine name, licence type, activation status, and related request data. Download and security records may include the requested release, date and time, IP address, browser or user-agent information, authentication events, and diagnostic logs.

3.4 Hosted-service data

Kalytera Cloud processes the customer and user information, camera connection details, video, recordings, events, alarms, exports, and audit information required by the features the customer configures.

4. How we use information

We use information to:

• provide accounts, downloads, licensing, support, and hosted-service functions;
• respond to requests and communicate about the relevant service;
• secure the website, prevent abuse, diagnose failures, and maintain audit records;
• administer commercial relationships and comply with legal obligations; and
• improve reliability and product operation using appropriate technical information.

5. Sharing and service providers

We do not sell or rent personal information. We may share information with infrastructure, hosting, security, content-delivery, email, and other service providers only as needed to operate the relevant service; with professional advisers; when required by law; to protect rights and security; or with your direction or consent. Providers receive only the information needed for their role and are subject to their own legal and contractual obligations.

6. Security

We use measures appropriate to the service, including HTTPS, access controls, password hashing, secure cookie settings, rate limits, logging, and software updates. No internet service or storage system can be guaranteed completely secure, so customers should also secure their accounts, devices, networks, and self-hosted deployments.

7. Cookies and asset delivery

This website uses essential cookies for authentication, security, and session continuity, and stores your language preference in your browser's local storage. We do not use advertising cookies. Pages may load fonts, icons, scripts, or styles through necessary delivery providers, including Google Fonts, cdnjs, and jsDelivr; those requests can disclose your IP address and standard browser request information to the provider. Our edge and security provider may likewise process request metadata to deliver and protect the website.

8. Retention and your choices

We retain information for as long as reasonably needed to provide the service, handle requests, secure systems, maintain required business records, and meet legal obligations. The period depends on the record and any customer configuration or agreement; residual copies may remain in protected backups until their normal replacement. Depending on applicable law, you may ask to access, correct, delete, restrict, or object to processing of your personal information. We will assess each request subject to identity verification and lawful exceptions.

9. Children

The website and services are intended for organisations and adults and are not directed to children. If you believe a child has provided personal information, contact us so we can review the situation.
